The Wedding Reception

Planning the wedding reception or the big party after the wedding ceremony.

After you have set the date, you will next need to find the place to hold the wedding reception. If you really want a location where you would like to have the reception, some couples will set the date to the availability of the reception location. It's not unusual to do so, especially if the recpetion local is very popular and reservations are hard to come by on short notice.

You can start searching for reception location by asking friends who have been recently married for their recommendations. You should create a list of questions you would like answered so as you go and visit these possible reception locations, you can come prepared and take notes on the place. It's important to take notes so you can remember the pros and cons about each lcoation. One important thing to look for is the people who you will be dealing with. Make sure they are courteous and responsive to your needs.

Often its a good idea to actually visit the location and at its busiest evening or day, if possible. For example, if your considering a restaurant or country club, go there on a weekend and see how the staff is servicing the clientele. Take note of the activity and see if your party will have adequate privacy if there are other events or activites occuring at the same time. Note the ambiance of the place as well to make sure it meets your expectations. Always get an estimate from the possible location if you are seriously considering it.  Then before you commit, review your notes on all the places you've visited and make sure they itemized all the costs involved.

Some good questions to ask the establishment are:

  • How many people can it seat and hold?
  • Can you use your own caterer?
  • How big is the dance floor?
  • What are the hours the place is available or open? Is there an additional charge if you go past the closing time?
  • How much parking is available for your guests? Is it valet or free parking?
  • If you have arranged for an open bar, what type of alcohol is available to be served?
  • Will your wedding reception be the only event occuring on that day or will there be multiple parties in progress?
  • What is the cancellation policy and related fees?

You want to ensure that the estimate you receive from the location notes any taxes and gratuities. Get everything in writing and if possible, have one point of contact at the hall or place. There are many things involved in planning the reception such as food, music, favors, seating chart, and specific events within the reception. It will help if you are organized in this process. Enlist the help of your maid of honor if needed and get a wedding planning booklet to keep your notes at bay. It will be worth it since there are many details to tend to.
